FAQ for Labor Payments
Here are some frequently asked questions regarding
compensation for warranty service.
Q. How long does it take to receive payment for our services?
A. Processing of your claim begins upon receipt of the
claim form and/or parts.
Unfortunately there are many steps to process warranty claims.
We issue part credits within one to two weeks from the day we receive
the parts and/or paperwork. Parts are processed for credit before
they are forwarded to the factory. The actual processing for labor
compensation doesn't begin until the factory receives, processes
and sends credit to us. Although Gulf Ice Systems issues the payment
to your company, we have no control of this process at the factory
level. The complete processing time takes up to 30 to 45 days for
the complete cycle. Depending on problems with a claim, more
delays may hold up the processing and extend the time frame.
An Ice-O-Matic FAST agent can submit the labor part of claim direct
with factory and get paid much quicker, usually within 2-3 weeks
from date they receive paperwork.
Q. What is the Warranty Explanation Sheet?
A. A Warranty Explanation Sheet is issued by the factory
to explain any adjustments or denials.
Gulf Ice Systems reviews this information to see if it is valid
and the re-issues a statement explaining the shortage. Gulf Ice
Systems does not have the authority to adjust your claim. We only
forward any payments issued by the factory based upon credit received;
however, the factory must justify all shortages. For any instance
not covered by warranty, the end user becomes responsible to compensate
your company for labor. Ultimately the manufacturer is the
one paying the warranty and if they won't provide coverage then the
responsibility falls back to the end-user/owner of the equipment.
Q. Can I claim more labor than is allowed by the factory?
A. You may claim any labor amount you desire, but the factory
will always adjust your claim to the limits permitted by the hourly
labor allowances.
Although Gulf Ice Systems reviews your paperwork, we are not allowed
to make adjusts to your claim or service invoices unless authorized
by your company. We will only forward your labor request to the
factory for their review. They make the decisions regarding labor.
Warranty pays based upon labor warranty allowances for the service
done to the equipment. Any labor not covered under warranty is the
responsibility of the end-user. However, you can get a Special Authorization
Number to cover additional allowances not covered under standard
warranty, but it must be issued from the factory.
Q. What is the standard labor rate for service?
A. That depends on what you charge per hour and the location
of your business.
The factory reviews your hourly labor rate and may adjust it depending
on the average rate charged in your region. Just judge it on the
going rate in your area.
